We are seeking a dynamic and experienced professional to join their team as a Vendor Management Specialist. Responsibilities:

Contracts Management

  • Ensure contracts are up-to-date, they include all needed and required provisions for smooth delivery of services to the companys Global Development and in terms of legal compliance, and that the provisions are followed by the vendors. Collaborate with company Global Development Management and Legal on necessary changes, amendments, and provisions.
  • Coordinate terminations and renewals of the contracts or any changes thereto.
  • Make sure any required annexes are prepared and signed.
  • Maintain signed orders, keeping them up-to-date and organized in one central location.
  • Negotiate rates with vendors as instructed by Global Development Management for cost savings.

Communication

  • Handle all communication with vendors as instructed by the Global Development Management.
  • Settle ways of working with vendors, keep up-to-date information on Global Development needs for services and communicating them to the vendors.
  • Coordinate communication between Global Development major stakeholders (Global Development Director, Senior Management, Legal).

Setting Standards

  • Propose, support, and implement vendor-related process improvements and new processes. Propose standards for collaboration with the vendors and tactical plans for sourcing and negotiating contracts as per company strategic goals.
  • Define metrics/KPIs for continuous assessment of vendors/teams/individual consultants and recruitment process.
  • Track and report on vendor-related metrics on a weekly, monthly, annual, and/or ad hoc basis.
  • Communicate the rules for collaboration with consultants to the vendors, explain if unclear
  • Support preparation and assessment of RFIs, RFPs, and present the analysis/proposal reviews to Global Development Management.
  • Support coordination of vendor selection processes, if applicable.
  • Address any emerging needs as per Global Development Management requests.

Tools and Access Management

  • Manage recruitment process from consultant/service request to consultant/team hire
  • Resolve any issues related to the onboarding and offboarding of consultants (collaborate with HR and other departments).

Other

  • Assist with vendor invoice review and corrections as needed
  • Administer payments ensure correctness of applied rates, on-duty fees, and correct calculations.
  • Prepare summary reports on on-duty hours to be paid for.

Required skills & experience:

  • 2-3 years of experience in similar position
  • Experience working in complex environment
  • Strong analytical skills to be able to analyze vendor performance metrics and assess the effectiveness of vendor relationships.
  • Excellent written and verbal communication skills for clear and concise communication with vendors and internal stakeholders.
  • Ability to build and maintain positive relationships with vendors, fostering a collaborative and productive working environment.
  • Understanding of financial principles and budget management, especially related to vendor contracts and payments.
  • Basic understanding of legal terms and conditions related to vendor contracts.
  • Ability to collaborate effectively with cross-functional teams, including IT, legal, finance, and HR, to achieve vendor management objectives.
  • Efficiently manage time to meet deadlines and prioritize tasks effectively.
  • Strong negotiation skills to achieve cost savings while maintaining quality relationships with vendors.
  • Familiar with Smartsheet, Sharepoint, Atlassian stack.
  • Very good knowledge of English (written and spoken), at least B2.
